Knowledge Answers

Answers from your own SOPs, specs, and past work, with the source attached.

Knowledge Answers gives your team cited answers from your own SOPs, specs, manuals, and past work, limited to what each person is allowed to see. New people get a sourced answer without waiting, and your senior people get fewer interruptions.

What it does

The answer usually exists somewhere. It's in revision C of an SOP, a spec sheet three folders deep, a manual nobody has opened since it was scanned, or the head of a senior technician who has answered the same question for years. New people ask around, experienced people get interrupted, and everyone opens a dozen files to find one paragraph.

We choose the document libraries with you and name who owns each one, and each document is indexed with its revision, owner, and access rules. The index lives in your environment and follows your existing permissions. Someone asks a question in plain language, the way they'd ask a colleague, and Knowledge Answers finds the passages that person is allowed to see, preferring current revisions. It writes an answer with a citation to each passage, or says plainly that it couldn't find one.

Knowledge Answers points to your documents, and the people who own them stay in charge of them. Conflicts, gaps, and outdated documents go to the document owner, who decides the right answer and updates the source. For anything consequential, the answer is a starting point and the cited source is what people act on.

What it handles

SOPs and work instructions

Answers come from the current revision of each SOP and work instruction, with the revision named in the answer. Nobody follows a superseded procedure by accident. A new operator gets the step with a link to the source, and the lead keeps working.

Specs and datasheets

Product specs, material datasheets, and customer requirements become searchable by the property or application someone is asking about. A person can ask which grade meets a customer's requirement instead of opening every datasheet. Each answer links to the passage it came from.

Manuals and equipment documents

Equipment manuals, maintenance procedures, and vendor documents are read and made searchable in plain language. Scanned documents are included, so the manual on the shelf counts too. A technician can ask how to clear a fault and get the page.

Past work

Old projects, quotes, tickets, and reports are searchable alongside your procedures. When someone asks whether you've done this before, similar past jobs come back with links and the relevant passages highlighted. Nobody has to guess file names on the shared drive.

Permissions built in

Each person gets answers only from documents they're allowed to open. A question about HR policy never surfaces a document from a restricted folder. Access follows the permissions already set in your document systems, such as SharePoint or Google Drive, and you decide who can see what.

"I don't know" when it doesn't

When nothing in your documents supports an answer, Knowledge Answers says so instead of guessing. When two sources disagree, it shows both and flags the conflict to the document owner. The conflict gets fixed the first time someone asks, not when a customer notices.

FAQ

Knowledge Answers questions

Where do the answers come from?

Answers come only from the documents you choose, such as SOPs, specs, manuals, and past work. Each answer cites the exact passage it came from, so the person asking can open the source and check it. When nothing in those documents supports an answer, Knowledge Answers says so instead of guessing.

Can people see documents they aren't allowed to open?

No, they can't. Access follows your existing permissions, so each person gets answers only from documents they're allowed to open. A question about HR policy never surfaces a document from a restricted folder, and you decide who can see what. The same question can return different answers for a plant manager and a new hire.

How does it avoid answering from an outdated SOP?

Every document is indexed with its revision, owner, and access rules, and Knowledge Answers prefers the current revision. Each answer names the revision it came from, so nobody follows a superseded procedure by accident.

What kinds of documents can Knowledge Answers search?

It searches the documents your team relies on, including SOPs and work instructions, specs and datasheets, customer requirements, equipment manuals, and past projects, quotes, tickets, and reports. Scanned documents become searchable too. We choose the libraries with you and name who owns each one, so your team sets the scope.

Does Knowledge Answers replace our document management system?

No, it doesn't. It points to your documents, and the people who own them stay in charge of them. Your libraries stay where they are, and document owners decide what's in scope and what's current. For anything consequential, the cited source is what people act on.

What if two documents disagree?

Knowledge Answers says so instead of guessing, and shows the passages that conflict. The conflict goes to the document owner, who decides what the right answer is and updates the source. Two versions of a spec that disagree get caught the first time someone asks.

How long does it take to get started?

We start with the question everyone asks and a sample of your documents, watch how answers get found today, and prototype cited answers on that sample. Once you approve, we connect to your real libraries and name who owns each one. Knowledge Answers is one of the few products we can usually have live in about six weeks, whatever the size of your libraries. Most of that time goes into reading and indexing your documents. Monthly support starts at go-live.
